Duties include preparing payroll, maintaining payroll records and employee files, new hire orientations, benefits administration, preparing payroll reports, monitoring attendance, leave administration and performing office and HR administrative tasks.
Essential Duties and Responsibilities:
Responsible for the accurate processing, and communications as applicable, for all bi-weekly multi-state payroll data including new hire entry, termination processing, wage/position changes, employee demographics changes, as well as paid time off, garnishments and company benefit deductions. Prepares payment of sales commissions, auto allowances, bonuses, tuition reimbursements etc. Keep records of personnel transactions such as hires, promotions, transfers etc. for AA Plan and government reporting. Verifies temporary employee hours and billing.
Maintain all onboarding and off-boarding of new and terminated employees in payroll system, HRIS system including necessary paperwork.
Access e-timekeeping systems to review the downloaded information for completeness and accuracy.
Partner with department supervisors to resolve time omissions or questions.
Coordinate tracking and correspondence of all missed payroll deductions.
General ledger payroll related account analysis, including recognition and resolution of unusual transactions.
Maintenance of Company time costing systems for payroll and human resource records.
Distribution of paychecks and company communications.
Approve and process payroll systems invoices.
Assist with attendance tracking to include retrieving call-in employee calls, notifying appropriate managers and maintain call out records. Monitor attendance and identify employees who may be eligible for leave.
Primary contact for all Company Paid Time Off programs.
Process and track leave of absence activities to include FMLA, STD, LTD, WC etc. Responsible for written communication to employee.
Provide appropriate training for new managers on timekeeping policies and processes
Utilize HRIS and excel to provide accurate and timely month end reports for the HR and Finance departments and other regulatory/government agencies. Support annual audits.
Keep current on legal requirements related to payroll and HRIS management, reducing legal risks and ensuring regulatory compliance.
Maintain accurate and complete payroll and personnel files including paper and electronic.
Maintains the integrity of the payroll and time and attendance databasesPrepares employment verification's and wage history requests as requested.
New hire onboarding and benefit orientations.
Open and distribute incoming mail, process and meter outgoing mail, invoices, checks etc.
Prepare and distribute monthly celebrations communications (birthday, anniversary cards, new babies, incentive etc)
Prepare new hire packets, employee handbooks and other required information for new employees as necessary.
Assist with organizing and coordinating company engagement activities to include benefits and wellness programs, social events, recognition programs and philanthropic activities as required.
Cover Reception desk/phones as required.
All other duties as assigned
Knowledge, Skills, Abilities and Requirements:
Bachelor’s degree in related field. Experience in payroll can be substituted in lieu of degree.
3 years’ experience with payroll processing experience. Experience must include electronic payroll processing. Experience with Paychex payroll system preferred
2 years benefit related experience
Working knowledge of payroll best practices
Strong knowledge of federal and multi-state regulations regarding compensation and benefit leave to include FLSA and FMLA.
Strong time management and critical thinking skills
Demonstrated experience in taking initiative
Good decision-making skills
Excellent math skills to include percentages and fractions
Proficiency in use of computer including Microsoft programs, particularly Excel.
Ability to prioritize work and perform multiple tasks
Experience in handling customer service situations
Must have customer service mindset when dealing with internal and external customers
Demonstrated organizational skills and attention to detail as well as strong data entry accuracy
Excellent communications skills including verbal and written skills.
Excellent attendance required
Maintains strict confidentiality of all employee information
Excellent follow up skills
Highest sense of urgency but maintains accuracy and efficiency
Flexibility to work additional hours as needed at year end etc.
