HRIS Systems Coordinator provides IT support for human resource information systems (HRIS). Responsible for overall system performance and maintenance, including ensuring information security, testing updates, reporting within the systems (internal/external customers), system upgrades, technical projects and improving process efficiency. This position serves as a technical point of contact for assigned functional areas and assists subject matter experts with ensuring data integrity, testing of system changes, report writing and analyzing data flows for process improvement opportunities within the Human Resources Department. This position will serve as backup for many of our core HR functions.
HRIS Systems this position supports include: Taleo – with respect to updating HR information; Training Management System, Master Control – with respect to ATH/ATP/P-11 approval process; HireRight; ADP – with respect to reporting functionality, mass uploading of data into the system (i.e. annual increases), and upgrades to CSI specific areas; I9 Everywhere; Visio Org Chart updates, EmTrain Compliance Training.

-System Maintenance: Assist in the review, testing and implementation of HRIS upgrades or patches. Collaborate with IT to coordinate application of upgrade or fix. Document process and results.
-Production Support: Provide support for HRIS Systems, including researching and resolving HRIS problems, unexpected results or process flaws; performing scheduled activities; recommending solutions or alternate methods to meet requirements.
-Projects/Process Improvement: Recommend process/customer service improvements, innovative solutions, policy changes and/or major variations from established policy that must be approved by appropriate leadership prior to implementation. Serve as a key liaison with third parties and other stakeholders (e.g. payroll, TCC, CVI). Use project management skills in managing projects. May provide overall project management for a given HR initiative.
-Reports/Queries: Write, maintain and support a variety of reports or queries using appropriate reporting tools. Assist in development of standard reports for ongoing customer needs. Help maintain data integrity in systems by running queries and analyzing data. Which includes working directly with auditors – Internal/External.
-Training: Develop user procedures, guidelines and documentation. Train users on new processes/functionality. Train new system users as well.
-Individual Development: Maintain awareness of current trends in HRMS with a focus on product and service development, delivery and support, and applying key technologies. Examine trends in information systems training, materials and techniques. Through classes, reading, CBTs or other mechanisms, continuously increase both HR knowledge and HRIS application/tools knowledge. Participate in user group meetings/conferences.
-Perform data entry and maintenance for the human resources department. Work directly with senior-level staff on projects across a wide range of purposes. Functions as a link between various departments within the company, ranging from payroll to management. Both data collection and consultation with these departments is essential, including communicating advice regarding policies and guidelines specific to our HRIS systems.
-Maintain HR Share Drive (Folder in Shared directory), SharePoint (HR Intranet site), Org charts in Visio.
-Liaison with internal and external auditors for quarterly or annual requests to include running reports, pulling/copying data.
-Prepare monthly term, hire and promotion reporting and distribute.
-Responsible for annual/semi-annual compliance training through EmTrain or other compliance solution. Responsible for data entry into TMS or other training management system.
-Data point person for updates in RIF and integrations. Includes maintaining spreadsheet and notifying appropriate personnel of changes, updating letters in case of extension, assisting with preparation of severance agreements.
-Backup to HR Admins for offer letters, email notifications, P-11 creation, orientation, termination, MasterControl routing/follow-up/notification of approval.
-Performs additional duties or assignments as directed by management.
Bachelor’s Degree in information technology or IT related field.
Ability to clearly communicate with all levels of staff verbally and in written format.
Ability to clearly define procedures in written format.
Ability to focus on details and understand how they relate to overall system or process flow.
2-4 years’ HRIS experience
1-2 years’ experience in project management preferred
1-2 years’ experience in general human resources preferred
Passing of background check which may include verification of prior employment, criminal conviction history, educational and driving records.
